Event video and data questions
Getting started
How does the program work?
Your educational presentation is filmed in advance and edited into a professional video. AIG coordinates the campaign, registration, email blasts, text reminders and live production. Your practice posts the supplied Instagram content, joins live to answer patient questions and follows up with consult requests. Your event portal keeps the moving parts together.
What is AIG Event Intelligence™?
The patient questions gathered across thousands of AIG events inform your campaign copy, Event Plan and front desk talk track. After your event, your practice receives a recap of its own conversations and useful next steps. Event Intelligence™ is included with every Get Booked | Stay Booked™ campaign.
What is my event portal?
Your private event portal brings the campaign together: a guided checklist, deadlines, graphics and captions, live registration counts and results when the event ends. Your team can use it on a phone and return to see results across its events. Take a look inside.
How much time does this take from our team?
Your provider films the educational presentation and joins live for Q&A. Your office contact coordinates assets, approvals and posting, and your team handles patient follow-up. Randy will walk you through the time needed for your event. We run the production. You bring the expertise.
How far in advance should we start preparing?
We recommend booking 4 to 8 weeks ahead. Your filmed content is due 2 weeks before the event, and your posts start the Monday of the week before your event. Follow the deadlines in your event portal. Booking earlier gives you more choice of dates.
How do we get started?
Book a discovery call with Randy. He will walk you through Get Booked | Stay Booked™, answer your questions and help you decide whether the program fits your practice.
What does our practice need to contribute?
Your part is simple: share your photos and brand assets, choose your event special and giveaway, film your education with our guidance, and join the live Q&A. One office contact reviews the materials and coordinates posting the ready-to-use social media assets. We handle the promotional emails through your practice’s own email system.
How much does an event cost?
Randy will confirm current pricing and any manufacturer sponsorship eligibility. Investment depends on your program arrangement; sponsorship is confirmed before scheduling.
Filming & content
What kind of video content do we film?
Short educational segments about your treatment. Think of explaining it to a patient sitting across from you. We provide a filming guide, so you do not need a production team or a memorized script. Film education in landscape format, with clear audio and good lighting.
Do we need professional video equipment?
No. A smartphone, good lighting and clear audio are enough. A ring light, tripod and shotgun microphone can help improve quality and can be reused for future content. Ask your AIG team for equipment guidance before buying.
How does the filming actually work?
You film using our step-by-step guide. First, send Randy a short test clip so he can check your lighting, framing and audio before you film everything. Then upload your footage through the links in your event portal, and we handle the editing.
What if a provider joins the Q&A from a different location?
Tell us as early as possible so we can create a separate guest speaker link. Each computer needs its own link.
How many people from our team need to be live?
Only 1 person from your practice needs to be live to answer patient questions. You can include an additional team member if you prefer. AIG manages event production and moderation.
Promotion & social media
How is the event promoted?
We build a promotion plan around your event, including email campaigns, social content, text messages and a dedicated registration page. Promotion primarily reaches your existing contacts and patients, who already know and trust your practice.
Can AIG handle our Instagram posting?
AIG creates every post: graphics in your brand and captions with hashtags included. Your team posts them, so your account stays with you. AIG does not log into your Instagram account. Name your poster during setup, and they get each post with a reminder the day before.
How does our team know when to post?
Your event portal has the full posting schedule. Your named poster gets each post the day before, with its graphic and caption ready to save, paste and post.
Will AIG match our brand style?
Yes. We use your logo, preferred colors, fonts and approved imagery to match your practice across campaign graphics and the registration page. Content combines patient education with event promotion.
Can we boost the social media posts?
Yes. Your practice can set up and manage boosts through its own social account. Paid promotion and its budget are outside the AIG program.
Can AIG send our email blasts?
Yes. We build and send your promotional emails through your practice’s own email system on the dates in your timeline. We work in Mailchimp, GoHighLevel, Constant Contact, Klaviyo and many more. With Mailchimp or GoHighLevel, add AIG as a user rather than sharing passwords. If your team prefers to send, we provide the email copy, graphic and send date. Ask your AIG Success Manager about setup.
Can we promote the event to our own contact list?
Yes. Your current contact list and existing patient base are the primary audience. Those patients already trust you, which gives them a reason to register and engage. An established email list with regular communication is part of being a good fit for the program.
The live event
Is the event fully live?
The educational presentation is filmed and edited. Your provider joins live for Q&A while AIG manages production and moderation.
How long is the event?
Plan for about 45 to 60 minutes, including your welcome, filmed education, live Q&A and close. If questions keep coming, you’re welcome to continue. Your AIG moderator stays to facilitate and support your team. There is no hard cutoff.
Do patients need to download anything?
No. Patients join through a link from their device. No app, no software, no scavenger hunt.
What if a patient cannot attend live?
The moment your event ends, every registrant receives the event video by email, whether they attended or not. Follow-up reaches both groups.
How is this different from an open house or an online class?
An open house requires physical space, coordination and staff time. AIG events center on a specific treatment, patient education and a clear next step, with live questions and structured follow-up. Less event-day chaos. More useful conversation.
Who chooses the giveaway winner?
Your team chooses the winner after the event, from attendees who stayed online. Your results show how long each person watched, making it easy to reward guests who stayed for the whole event. The winner is never drawn live.
What does our provider need to go live?
Google Chrome on a desktop or laptop, ideally with a wired connection. Each access link works on 1 device.
After the event
What happens immediately after the event?
AIG sends a text to registrants, whether they attended or not, asking if they would like a consultation. Registrants receive the event video by email, and attendance data includes how long people stayed. Your team takes over the patient conversation and scheduling.
When should we reach out to leads?
Same day, and the same hour if you can. Prioritize the first 48 hours while interest is fresh. These patients just spent time learning about your treatment, so keep the conversation going. “When we get a minute” is not a follow-up plan.
What do we receive after the event?
Your lead list, including patients who answered the live poll or replied to the event texts, your full event video to download and share, and your AIG Event Intelligence™ recap. It all lives in your event portal.
What if a patient is interested but not ready to book?
That is normal. Keep the conversation open with a helpful check-in or follow-up message. Answer the questions they still have and reconnect when they are ready.
Can we use the content after the event?
Yes. Your edited educational video can support your website, YouTube channel, social media, email campaigns and future patient conversations. One event can give you plenty to work with afterward. See our data policy below for access and storage details.
How do we know if the event worked?
AIG tracks registrations, attendance, engagement and consult requests. Your practice tracks which requests become booked appointments and treatments. Together, those measures give you a fuller picture of performance.
Are consult requests the same as bookings?
Not quite. A consult request is a patient raising their hand. Your team still needs to connect, schedule, assess candidacy and complete the sale.
Will we get a report after the event?
Yes. Your post-event results show registrations, attendance and engagement. AIG Event Intelligence™ adds patient question themes and practical next steps. As you host more events, we have more data to compare and analyze, and you can always see your results in your event portal. See the event portal and reporting.
How soon can we run another event?
A quarterly rhythm works well for many practices. 4 events a year keeps your patients engaged without wearing out your list. Ask Randy about multi-event packages.
Can we turn the event into more content?
Yes. Your event video is yours to use, and the Content Repurposing package does it for you. It is complimentary with packages of 3 or more events.
For manufacturer reps & PDMs
What does Event Intelligence™ give our brand?
Anonymized patient questions, grouped by treatment and market, with provider answers and patterns from sponsored events. AIG reviews every report before releasing it in your Partner Portal. This reporting is exclusive to AIG manufacturer partners; patient names and event videos are not shared.
How do I submit an account?
Participating manufacturer reps and practice development managers receive the submission link directly from AIG. Ask your AIG contact for the link. Interested in becoming a partner? Discuss a partnership with Randy. Sponsorship eligibility is confirmed before scheduling.
YOUR EVENT VIDEO & DATA
Your content.
Your patient relationships.
Who owns our event video?
The practice owns its event video. Your event portal gives your team access to its event materials and results.
What do manufacturer partners receive?
Manufacturer partners receive anonymized, aggregated Event Intelligence™ themes. Patient names and your private practice results stay out of partner reporting.
Where can we find the data policy or request deletion?
Read our privacy and data policy for access, storage and deletion details. Contact your AIG Success Manager with questions or to request deletion.
