Why Your Front Desk Is the Real Conversion Engine

AIG fills the calendar. The front desk decides whether the calendar holds. We have seen it both ways. A great event with a poorly briefed front desk leaks bookings for a week. A mediocre event with a sharp front desk recovers and overdelivers. The leverage is at the front desk.
The handoff most practices ignore
Most practices spend weeks planning the event and zero minutes briefing the front desk. By the morning of, the team knows there is a virtual event happening, vaguely knows the treatment is involved, and has no script for the calls that will come in the next 48 hours. Patients call ready to book. The team scrambles. The energy drops. The conversion drops with it.
What the front desk needs to know
The featured treatment in patient friendly language. Not the device specs. What it does, who it is for, and what to expect.
The event special and the deadline. Verbatim. Memorized. The deadline is the conversion lever.
The giveaway and how it is announced. So they can answer when a patient asks how to qualify.
The booking flow. Which provider, which calendar, how long, and what the next step looks like once it is on the books.
The replay link and how to send it. Patients will ask. The team should have it at their fingertips.
A patient on the phone is a small window of attention. A scattered front desk closes the window.
The five questions every team member should be able to answer in their sleep
What is the special? When does it end? What does the treatment do? Who is the right provider? How fast can I get on the calendar?
If anyone on the team hesitates on any of those, the briefing was not enough.
A morning of training pays for itself in the first event
We tell every booked client the same thing. Block thirty minutes the morning of the event. Walk the team through the offer language, the booking flow, and the scripts for both phone and DM. The team that knows the answers projects confidence. Patients can feel it through the phone.
Confidence is the conversion lever you can install in thirty minutes.
